Westminster Woods P.S. School Council Minutes
Meeting Date​: Monday, June 4th, 2018

Present: ​Allison Stoffman, Tim Dickieson, Cherise Johnson, Beth Greenfield, Angela Popofski, ​Jacquie Hulm-Mehagan, Melanie Taylor, Melissa McEachern, Marcy Lillard, Lisa Matchett and Jolly Bedi

Welcome: ​Meeting called to order at 6:30 p.m. by Beth
Review and Acceptance of Past Minutes:​ Motion to accept the minutes of May’s meeting by Angela, seconded by Melanie

Principal’s Report:
Staffing:
– Melissa Brooks maternity leave began early and baby was born early the following week! Carla Cruttenden who taught the class until January is back until the end of the year.
– most openings for next year have been filled but things can continue to change over the summer!
Events and Activities:
– EQAO completed and picked up
– Kindergarten Celebration occurred on June 1st
– City Track and Field for Junior and Intermediate are both in June
– Grade 6 Camp is on June 26 & 27
– Grade 8’s to Ottawa June 19-22
– Talent Show is on June 22 and 26
– PD day Friday June 8th
Information Items:
– Bell times have been approved by transportation – Schedule for next year:
8:30-9:20 Period 1
9:20-10:10 period 2
Break 10:10-10:50
10:50-11:40 period 3
11:40-12:30 period 4
Break 12:30-1:10
1:10-2:00 period 5
2:00-2:50 period 6
– Security Cameras being installed in all UGDSB schools over the course of next year; cameras will be installed at WMWPS this summer; not in teaching areas or washrooms
– $298.45 spent on recess bin equipment
– Report back for $500 needs to be completed
– Climbing Program? Do we want to do this next year? $9.00 per student for 2 times through the event-Ropes, obstacle course and Trust Hall. Could be booked February 11-15. Motion to cover any outstanding student fees for the rock climbing event next year by Cherise, seconded by Angela. Motion passed.
– Waiting to hear from the board regarding structural engineer for the basketball nets; they have to locate all of the drawings for the school, which are not digital
– Dates to book out the school for Community Use…Picnic for May 2, Multicultural Night for November 22, February School Council event for February 21; changed the date for next year’s multicultural night to Thursday November 15th
– We have $4220.00 in the Upper Grand Learning Fund
– The date of the first council meeting has been changed to September 17th, 2018
– Will keep October 1st, 2018 as a tentative council meeting date
– Would like to see more promotion of the UGDSB app as a way to keep parents/guardians with the latest school news

Treasurer’s Report:
As of May 31st, 2018
– $3302.35 in milk expenses. Current milk balance is $8303.32
– following the settlement of any remaining expenses, the final balance from milk will be transferred to Future Schoolyard Improvements
– $2760.45 in family picnic profits (includes all cash from basket ticket and food sales)
– Picnic expenses: $818.12 to the balloon artist, $456.00 to the face painter, $282.50 to Kernels and $419.50 to Toppers Pizza. Total expenses $1976.12
– Community building current account balance is $4817.21
– Current Fundraising and Special Projects account balance is $504.61
– Online pizza orders for the family picnic totalled $125.00. Deposited to Future Schoolyard Improvements
– Future Schoolyard Improvements current account balance is $15 663.96
– $1000.00 from the RBC grant will be deposited into the Fundraising and Community Building account
– Motion for WWPS to have access to all monies ($500.00) in the Funds for Friends account to help cover student expenses for the Grade 8 trip to Ottawa by Angela, seconded by Cherise. Motion passed.
– Motion to accept the treasurer’s report made by Marcy, seconded by Lisa

Fundraising Report:
Fall Fundraising Ideas
– Tabled until next year
Basketball Net Fundraiser
– Have a toonie toss fundraiser at the Fall Open House
– Motion to use funds raised at the silent auction for future schoolyard improvements made by Cherise, seconded by Marcy

Playground & Greening:
Butterfly Garden Update
– One of the landscapers Cherise and Allison met with has declined the job
– TNT Property Maintenance provided a quote of $21 449.00 + tax
– Let’s Landscape Together provided a quote of $12 310 + tax
– Cherise is currently working on getting a third quote

Milk Program:
– Running smoothly – Beth will reduce numbers for next week

Community Building:
Fall Open House – September 27th, 2018
– Three food trucks confirmed
– Have contacts for additional trucks (Indian, plant-based and pierogi food trucks)
– Melanie will contact all three to see if they are interested in participating
– We can purchase a bulk crate of 300 daffodils for $75.00 + tax (will need three crates, 900 bulbs)
– Can sell any extra bulbs at the Open House

New Business:
Policy 104
– The UGDSB is welcoming public input on the draft of Policy 104 – Access to School Premises.
– Draft documents can be seen and input submitted until June 21st, 2018 using the following link: http://www.ugdsb.ca/board/policy
Letter to School Community
– Drafted by Angela
– Includes a thank you for previous and ongoing support of fundraising initiatives, a description of what past funds have been used for, information on the school council and a call for volunteers, highlighting upcoming fall 2018 events and a request for assistance from talented parents/guardians/friends and local businesses

Old Business:
Staff Appreciation Luncheon​ (June 14th)
– Sign up to bring food and/or volunteer
– Cherise to resend the volunteer email
School Council Bulletin Board
– Marcy volunteered to redo the board during the last week of August
