Westminster Woods PS – School Council Minutes
Meeting Date​: Monday, March 5th, 2018

Present: ​Allison Stoffman, Tim Dickieson, Cherise Johnson, Beth Greenfield, Melanie Taylor, Valerie Jameson, Jacquie Hulm-Mehagan, Lisa Matchett, Melissa McEacharn, and Marcy Lillard

Welcome: ​Meeting called to order at 6:30 p.m. by Beth

Mr. Scott’s Grade 4/5 Basketball Hoop Presentation:
– Students see a need for a new basketball court
– Surveyed ~150 students and 80% would like a new net with the school logo
– Got a quote for two wall mounted nets ($1200.00)
– Fundraising ideas include a student vs. teacher basketball game
– Will email council with the costs
– Have to go through the school board to purchase new basketball hoops
– Do have ~$10,000 allocated to playground maintenance

Review and Acceptance of Past Minutes:​ Motion to accept the minutes of December’s meeting by Melanie, seconded by Lisa

Principal’s Report:
a) Staffing Information​:
– Michael Gagon in for Lindsay Campbell Intermediate Core French and Grade 6
– Melissa Brooks returned from maternity leave in January
– Alison Leclair returning from Maternity leave March 19th
b) Updates:
1. Thank you for all of the support from the council and the community during a difficult winter at the school
2. Bell times for next year: Change to 8:35 and 2:55, with 2 x 40 min. breaks throughout the day
3. Math Night information update. We will look into alternate dates and finalize a plan
4. Technology purchases…well received! Thank you! We purchased 13 Chromebooks and 5 iPads
5. Climate Survey is open until March 9th. Please complete if you haven’t had a chance to yet. We will send home a final reminder this week.
6. School Council Input for school Leadership form to be completed by April 30th
7. SIPSA sharing: Please bring any questions to April Meeting
c) Events in March:
1. March 22nd: Lockdown Drill
2. March 29th: Intermediate Dodgeball Tournament
3. March 26th: Robinhood play performance
4. March 27th: Renata Fast : Olympian visit
5. March 21: Grade 7/8 to River Run
6. March 28: Grade 6 to War Plane Museum

Information Items:
– PRO Grant Application for 2018-2019 is now available. We can discuss in April
– Profit of $432.05 from QSP. Community building current account balance is $4427.07
– $33.00 late Big Box payment; deposits of $209.00 from Big Box and $348.00 from The Guelph Storm for the community skate
– Reimbursed WWPS $6605.00 for the purchase of Tech equipment from the proceeds of the Big Box Fundraiser
– Current Fundraising-Special Projects Account balance is $504.61
As of February 28th, 2018
– $2342.00 paid to the Dairy Depot; current Milk account balance is $6612.39
– Deposit of $226.18 from QSP profit (total profit of $658.23)
– Paid Jump to Math the remaining balance of $620.37 for Math Night; current Community Building account balance is $4032.88
– Motion to accept the Treasurer’s report by Beth, seconded by Marcy

Fundraising Report:
– Everything is wrapped up for the year (Big Box, QSP and Planet Bean)

Community Building:
Family Picnic and Raffle (Thursday May 3rd, 5-7 pm):
– Picnic and open house are during education week
– Two food trucks are booked (Sweet Temptation and Fo Cheezy); Lisa is looking into getting an additional truck with hot dogs, fries, sausages etc.
– Will have pizza again as well
– Face painters (Cleo the Clown) and two balloon artists are booked
– Baskets: letter will be sent home April 9th asking for basket donations, need to have everything for the baskets by April 20th
– Could we approach local businesses for individual basket donations or whole baskets?
– Intermediate students or three volunteers and people from RBC could assemble and wrap the baskets
– The grade 8’s could possibly sell popcorn, juice and snacks
– Motion by Cherise to sell drinks and snacks from Costco at the picnic as a supplemental fundraiser, seconded by Lisa
– Motion by Cherise that any profit from the supplemental food sales at the family picnic/raffle be allocated to Playground and Greening, seconded by Melanie

Playground & Greening:
a) Fall Mulch and Clean-up:
– Thank you to those who helped out…….we need to do it again in the spring Conservation Grant Application
– Have applied for a $750 grant from the Grand River Conservation Authority (used for trees, shrubs, seeds etc.) but won’t know if we received funds until May
b) New Conceptual Design:
– Changed the playground concept to a butterfly garden to commemorate the students who passed away
– Will include benches and commemorative plaques
– Will be located behind the portable closest to the playground
– Surrounded by cedar planks; would like to also surround the playground
– Estimated cost of $10,000
– Could ask local businesses for additional donations
– Would like to have a concrete plan to present at the family picnic
– Currently waiting on board approval
c) Spring Weeding and Clean-up:
– We can receive free mulch from the board
– RBC grant for $1000.00
– Need to clean and weed the front flower beds
– Will be scheduled for a day in May or June
– Will put out a call for volunteers
d) Milk Program:
– New milk bags have been purchased; payment will occur in June

Old Business:
a) Jump to Math Night:
– Cancelled but we have the PRO grant funds
– Company would like the balance we owe them
– If possible would they come in October if we pay them now?
– Motion by Mel, seconded by Marcy for Allison to follow up with Jump to Math and see if paying them in advance for a night next school year is possible and if not what our options are. Vote was unanimous.
b) School Tech from Big Box Proceeds:
– We purchased 13 Chromebooks and 5 iPads
