VICTORY PUBLIC SCHOOL COUNCIL MEETING MINUTES

2023 – 2024 School Year  March 6, 2024 | 6:30 – 8:00 pm

Agenda Topic
1 Welcome & Introductions (Chair)
2 Principal’s Update (Nicole Hamilton)

  • Dance Ed- booked for next year Oct 28- Nov 5- will cost $7300
  • Received outdoor ed funding- using for Mountsburg, Butterfly Conservatory, Groundwater Festival, Island Lake, Focus with Nature photography program, plus other trips
  • Grade 5-6- Going to Empowerment Day at Sleeman Centre, will be free, speakers with empowerment/change messages
  • Grade 3 teachers- attended workshop on Grade 3 related EQAO scores, goal for every student to achieve grade expectations
  • TV moved from front hallway to portable because portable didn’t have one.
  • Shelving to be replaced in storage room
  • New books ordered through scholastic funds + other funding
  • Work being completed with Board on library- rep from School House Products came and will submit plan for what could be provided.   Floor plan, including new shelving, comfy chairs, moveable shelving + budget and phasing to be prepared and possibly ready for next meeting
  • Library currently has about 10,000 books- needs to be purged as the boards message to discard books published 10 -15 years ago prior to 2010
3 Treasurer’s Report for February 2024 (Linzy)

  • Account at $53,503
  • Pizza profit higher than expected
  • Cookie dough fundraiser, raised $3600 
  • Spirit wear sales up to $2300 (doesn’t account for purchase cost)
  • Expenses for Forest of Reading, pizza purchase, lunchbox equity funding, teacher supplement spending
4 Re-visiting Budget – Allocation Plan for Additional Funds (Linzy & Nicole Hamilton)

  • To be deferred until next month
5 Fundraising & Events Calendar

  • Tru Earth (Rob)
    • small amount of funds raised to date
  • Mabel’s Labels (Linzy)
    • Small amount of funds raised
  • Cookie Dough (Linzy)
    • Higher amount raised than expected
    • Challenge with coordination and delivery/poor communication with company, recommend working with different company in the future
  • Unlearn Workshop (Nicole)
    • Purpose to provoke discussion, ideas, open discussion and conversation
    • Grant available for parent engagement we received $1000 to go towards the workshop and Guelph Lake received $1000, company will hold workshop in partnership with Guelph Lake PS- April 15 at 7-8pm
    • Open to parents/community
  • Development of/updates to events calendar
    • Council meetings and agendas + events not on website but will be sent to Nicole

6 Spirit Wear Orders

  • Update orders (Nicole Hamilton)
    • Orders now closed, will likely be available after March Break, will be sent home in kids backpacks
7 Dessert Party Planning (Becca)

  • Confirming rentals, securing food
  • Concern that only 7 volunteers have responded, will need more volunteers, need additional people to bake cakes and desserts
  • Equity options- discussion that every student will have tickets for a few games

8 Grounds Update (Linzy)

    • The board will provide artichects for the school council to choose from.
    • Will have initial meeting/consultation with an LA who has experience with schools, include rough mark-up of existing school yard- cost $250 + HST
  • Decision: General agreement to cover $250 fee
  • Nicole submitting request to Board to move retaining wall  
  • Drain in kindie yard was pumped out but was filling faster than they could pump out, likely from groundwater
  • Committee putting together presentation on values and primary goals for grounds areas
11 February Newsletter (Jessica N.)

  • Dessert party info and request for volunteers, silent auction 
  • Cookie dough fundraiser results
  • Unlearn workshop
  • Dance Ed dates- June 21, consider having bucket for donations for future fundraising for Dance Ed
    • Discussion, could we fundraise using food options or flowers for kids?  Decision: don’t make it a fundraising event, just a community event, food would be challenging and messy and flowers may not be equitable

  • Alternate option is to ask Guelph Police to have an event- they have free workshops on online safety- information is available on Guelph Police website
