School Council Minutes – April 2018
Westminster Woods PS School Council Minutes
Meeting Date: Monday, April 9th, 2018
Present: Allison Stoffman, Tim Dickieson, Cherise Johnson, Beth Greenfield, Angela Popofski, Valerie Jameson, Jacquie Hulm-Mehagan, Tiffany Moniz and Lucy Oates
Welcome: Meeting called to order at 6:30 p.m. by Beth
Review and Acceptance of Past Minutes: Motion to accept the minutes of March’s meeting by Tiffany, seconded by Angela
Principal’s Report:
Staffing:
– Rylan Pranger will be joining the Program Department as a curriculum leader as of next Monday, Cameron Brubacher will replace him for the remainder of this year
– Alyssa Hutchings has moved onto a full time LTO so we now need to hire for a 0.2 position for the remainder of the year
– 2018-2019 staffing is underway and we are in the very beginning stages of planning
Information and Events:
– Dufflebag Theatre performance was great last week
– Skills Canada was successful for all participants
– Intermediate dodgeball tournament Westminster Woods final
– Forest of Reading going strong throughout all divisions
– Renata Fast visit was inspiring
– Grade 5 elder visit last week
– Math Night was a great success with lots of positive feedback and the PRO grant report back has been completed and submitted
Upcoming Events:
– Very busy from now until the end of the year, many teachers planning trips, teams, etc. Keep and eye on the calendar as we update it frequently.
– International Day of Pink on April 11
– Jump Rope For Heart will be taking place May 18th
– Grade 3 and 5 Shark Swimming program begins in May
– EQAO dates have been set for Grades 3 (May 29-June 1) and 6 (May 22-25)
– New JK Orientation May 16th @ 5:30 pm
Dress Code Changes:
– Updated Dress Code Guidelines will be shared and discussed. Staff have discussed the guidelines and we will share with our student leadership team.
Garden and Basketball Net Update:
– Garden has been approved with some fine-tuning. Students have approached staff about a gardening club who would like to be involved in this project in some way.
– Basketball nets require a structural engineer before we can move forward.
– For safety reasons, cracks in the wooden posts in the playground need to be filled with silicone; Cost is $595+HST. Motion to use funds from Playground Maintenance to fill the cracks in the wood posts in the playground made by Angela, seconded by Cherise
Treasurer’s Report: As of March 31st, 2018:
– $7605.00 in milk sales
– $1947.64 paid to the Dairy Depot. Current milk balance is $12269.75
– Community building current account balance is $4032.88
– Current Fundraising and Special Projects account balance is $504.61
– Future Schoolyard Improvements current account balance is $15410.03
Fundraising Report:
Fall Tulip Fundraiser
– Ideas were discussed at the Picnic Committee Meeting on how to commemorate the two students who passed away this year
– Students could plant a bulb in memory of someone at the Fall Open House
– We could also sell the bulbs as a fundraising project
– Motion by Angela to purchase one bulb per student to plant as a memory project at the Fall Open House, seconded by Beth. Vote: unanimously passed
Community Building
– Family Picnic and Raffle (Thursday May 3rd, 5-7 pm)
– Teachers have signed up for basket themes; items due by Monday April 23rd
– Ask the grade 7 and 8’s to wrap the baskets – we will provide clear garbage bags or cellophane
– Baskets will be displayed the week of the picnic
– Grade 8’s will be selling pop, iced tea, juice, popcorn etc.
– Melissa has offered to buy the food, drinks, plates etc.
– Need a cash box (can use the two school ones) and a float
– Need two tents (Lucy has a 10′X10′ tent we can use) and tables
– Cherise will send out an email to see if anyone else has a tent we can use
– Lucy will make stickers for the baskets and ticket boxes, Allison will perform sticker QC
– Cherise and Tiffany will make the basket draws
– Will put out a call for volunteers for ticket sales, set-up, clean-up and face painting line managers
– Pizza pick-up will be at 5:45; $2.00/slice (cheese, pepperoni and veggie)
Playground & Greening
– Spring Mulch and Clean-up
– Can use the RBC grant; require two hours and a specific date
– Need three volunteers from the school and three from RBC
– Mulch must be spread by April 30th
– The student gardening club will help with weeding the front flower beds
Basketball Net Installation
– Before being installed the school wall needs to be inspected by a structural engineer
– Alternative would be to place the nets on poles 6ft from the wall
– Costs include $1200 for two nets + line painting + engineer
– Could have a toonie toss at the family picnic as a possible fundraiser
Butterfly Garden and Reflection Benches
– Can proceed in getting three quotes
– Proposed plans will be posted at the Family Picnic
Milk Program
– Running smoothly
New Business:
Staff Appreciation Luncheon
– planned for Thursday June 14th
PIC Spring Event
– April 26th; need two volunteers to attend
Accessibility Standards and Students with Life-Threatening Medical Conditions
– Online feedback is due soon (www.ugdsb.ca/board/policy)
PRO Grant Application (Mental Health Awareness)
– Application deadline is June 5th; will get info to Angela and Marcy regarding the application
Old Business:

– Received good feedback from those who attended
