Westminster Woods P.S. School Council Meeting Minutes

Meeting Date: 4 November 2019

Present: Kylee Booth, Vanessa Luxen, Jacquie Hulm-Mehagan, Lulu

Welcome: Cherise called the meeting to order at 6:30 pm.

Review and Acceptance of Past Minutes:
Lisa motioned to accept the minutes and Melanie seconded the motion.

Principal’s Report:
Staffing:
● Chris Scott received a 1.0 contract at JD Hogarth, Carla Cruttenden was hired for the grade 6 class
Information Items:
● WHY survey- combined Health Unit survey and climate survey.
Letter home today for students in grades 4-8, information for parent survey as well will be coming home
● November 2019: Kindness and Bullying Prevention Week… we will be focusing on:
· Kindness
· Diversity
· Bullying Prevention
· Inclusion and Respect
· School wide activities, announcements
● Intermediate volleyball and basketball, Zumba, drama club, Various intramurals and clubs are available at recess in the gym, Eco Club completed our annual waste audit
● Intermediate colour house activities have been happening and our students seem to be really enjoying them
● Progress reports go home on November 19th
● Interviews scheduled for the evening of November 28th and during PD day on November 29th, teachers may have more times available
● Holiday concert scheduled for last week of school in December
● Giving Tree will be taking place for 10 days in December
● EQAO scores are in. Overall school did well in all areas:
Grade 3:School- Reading 82%, Writing 80%, Math 75%
Board- Reading 71%, Writing 65%, Math 51%
Province-Reading 74%, Writing 69%, Math 58%
Grade 6: School- Reading 95%, Writing 91%, Math 80%
Board- Reading 82%, Writing 80%, Math 47%
Province- Reading 81%, Writing 82%, Math 48%

Treasurer’s Report:
Financial Update as of September 20th, 2019
-$1695 was paid in August for wood fibre and safety surfacing
-$4095 in milk orders (got paid)
-$151.20 paid for accident insurance
-$4200 reimbursement for overpayment of Butterfly garden back intoSchool Improvements
$4896 in Booster Juice orders

Financial Update as of October 31st, 2019
-$542.40 paid to Guelph Building Supply for mulch etc.
– $239.21 to Lisa for plants
-$5000 moved from Milk into Playground maintenance
-$1000 moved from Booster juice into Funds for Friends
-Milk zeroed out; $11218.74 moved into other accounts: $1469.46 paid to Crown Dairy; $1248 collected in Milk orders
-$410 collected for Reusable bags- Melanie: $3000 cash online (sold 300 bags) $900 funds raised (Not currently showing up in accounts right now)
-$1855 moved into Special projects from Booster Juice
-$6218.74 moved from Milk into Future School Improvements
-$605.68 paid to Guelph Print for parking flags
-Booster Juice zeroed out; $2855 moved into other accounts; $1082 collected in orders

Fundraising Reports:
-Eco Friendly bags, sold 300 and made $900, bags will come in the next few weeks and will be sent home with students
-Coffee-Planet Bean coffee and tea, Melanie will reach out to them, make sure there isn’t a change and will run in the next few weeks and will put into community building
-Grade 8 may sell poinsettias last week of Nov/Early Dec

Community Building:
– Multicultural Night, Nov 21, 5:30-7, 11 people have signed up
-Cherise will call each group to see if they need an outlet and see if she can get performers
-Tables have been ordered from the Board
-Need clean-up volunteers, Kylee and Vanessa signed up
-Water jugs and paper cups will be provided
-Discussion about providing paper plates and forks- discussion of a more environmentally friendly option in the future.
-Dawn will ask the High School Multicultural club if they want to perform or do henna

Playground and Greening:
– Fall Clean-Up: Lisa reported it went well, planted new plants in the front and will leave the back garden for the spring
-Dawn will look into fence decorations to help stop sand going into the front gardens
-Dawn: Kindergarten playground is being worked on and they replaced big logs under warranty and “beveling the shrinking cracks”. Discussed sand containment strategies and to do the rounded log edging $7,448 and to do
squared edging it would be $6,100 for 32 meters of edging. Dawn will look into how the edging would be attached and accessibility. Dawn will ask for a diagram and will bring information to the next meeting.
-Discussed butterfly garden winter fencing with stakes and burlap. Dawn
motioned to spend up to $300. Angela seconded and all agreed.
-Rain bucket is turned over and good for the winter.

Milk Program:
-Milk man passed on congratulations to the milk team!

Booster Juice Program:
-All going well

Pizza Program:
-Pizza is now with Pizza Pizza and going well and students reporting they
like the pizza.

Old Business:
-Teacher parking lot is crowded and illegal parking.
-Discussion of getting pylons for teacher’s lot.
-Melanie is looking into free pylons and if not Angela will price them and send out an email.
-Main parking lot seems to be going better but still work to be done.
-Mentioned that kiss and ride could be just for younger students.
-Parking lot flags are in and Cherise and Lisa will work on putting them up
and it was $605 for flags.
– Spirit Wear going home end of next week. Sold about half of what was sold last year.
-Melanie looking into Skate Night in Feb and could be earlier time from 6-7. She will try to confirm a date in Feb.

Family Fun Night/Picnic :
-Cleo is booked
– 3 food trucks
-Monkey Bum Tie-dye station for $5 for own shirt /$15 for buy a shirt-

Caricature Artist: $50 an hour, Cherise will see if he can bring anyone else
to help him and if he can do just black and white so he can do more
drawings, possibly sell tickets?
-Ask Grade 8 students to make game booths
Energize Guelph (parachute, slack line, balls) Andrew will look into this and
see about booking
-Raffle will happen
New Business:
– PIC meeting-promoting a kindness campaign, use a hashtag and Wed
Nov 20th, #increasekindness
-Collective Bargaining-class size not affected this fall and hiring not
affected for this school board, Nov 25th
-ProGrants are different than before and will just be given to the PIC group.
-Each school council will receive $500
-USG app is doing well
-Terry James resource center has games that parents and school can
request and use.
-There is a code of conduct survey
