School Council Meeting Minutes – Westminster Woods PS
Meeting Date: September 17, 2018

Present: Cherise Johnson, Beth Greenfield, Allison Stoffman, Tim Dickieson, Melissa McEachern, Shana

Welcome: Beth called the meeting to order at 6:30 pm

Review and Acceptance of Past Minutes: Motion to accept the minutes from June’s meeting by Melanie and seconded by Beth

Election of School Council Executives for 2018-2019:
* Beth and Cherise explained the process of elections. She provided a description of each of the board member positions and responsibilities as stated in the by-laws. Members of the council nominated themselves for each role, Beth motioned to accept the nominations, all were in favour.
* The School Council Board for the 2018-2019 school year is as follows:
❖ Chair – Cherise Johnson
❖ Treasurer – Angela Popofski
❖ Secretary – Jennifer Li
❖ Committee Chairs
o Fundraising – Melanie Taylor & Shawna Waverman
o Community Building – Melissa Sikkes
o Playground & Greening – Cherise Johnson & Dawn Nicholson
o Milk – Angela Popofski

Principal’s Report:
❖ Staffing: all staff is currently in place
❖ Start up: smooth start to the year. All reorganization of classes has been done. Only a few moves in grade one. Our population has increased to 679 students!
❖ Information:
o Lead the Change Club: Combines Me to We, Leadership and Spirit Club for grade 6-8 “We Day” is on September 20th in Toronto
o Junior Cross country has started, meet is October 26th
o Intermediate cross country and football have started, tournaments are on October 3rd and September 26th
o Bus patrol training taking place at Westminster on October 4th
o PD day on September 28th has a Math focus from the Ministry of Education in the morning, Health and Safety training in the afternoon
o Open House September 27 from 5:30-7:00 pm
o Terry Fox Run September 27
o Orange Shirt Day October 1, Recognition of Indigenous People, Elders visit for Grade 5 (TBD), we will send out more information about this soon
o Stay connected with UGDSB app and calendar

Treasurer’s Report:
● $672.35 paid to Parks and Company Landscape Ltd for filling cracks in the wooden posts in the kindie yard
● $2086.99 paid to Dairy Depot
● 959.37 to ProGrant for Math Night
● $321. 95 credit received from Family Picnic for popcorn proceeds
● Milk account closes at year end with $6216.33. Motion to accept moving these funds to the Future Schoolyard Improvements. Motioned by Angela, seconded by Dawn.
● Motion to move $3500 from Community Building to Future Schoolyard Improvements. Motioned by Angela, seconded by Cherise.
● Motion to pay $151.20 from Community Building for School council Insurance. Motioned by Cherise, seconded by Lisa.

Fundraising Reports:
❖ Vesey Bulbs – Coordinated by Kindergarten teachers Perry & Ly
o Funds raised to go towards new Kindie equipment i.e. plasma cars, trikes
o Orders due Sept 26th; products arrive beginning of October
o Will reach out for volunteers closer to the event
❖ Laura Secord Chocolate
o Information has been sent home. Each family will receive one box (30 chocolate bars) to sell to their friends and family – preferred to not return open boxes
o Families have option to decline to participate (need to return form)
o May request additional boxes through school council
❖ Guelph Storm -Angela to coordinate
o Both a community event & a fundraising event
o “Skate with the Storm,” October 21st
o Motion to put profits to Future Schoolyard Improvements, Motioned by Angela, seconded by Cherise.

Community Building:
❖ Open House:
o Need volunteers to man the School Council table; ideas for the table include selling Laura Secord Chocolate and any leftover bulbs, provide help to parents to obtain school App. Will send an email with sign up sheet.
o Grade 6 students planning an event to fundraise for hoops
o Food trucks: Sweet temptations, Fo’ Cheesy & The Shmuck Truck – flyer to be sent out to parents
o Silent Auction – to be deferred until later in the school year
❖ Multicultural Night
o November 15th
o Last year multicultural night had great turnout, great reviews.
o Idea to have similar structure, passport system with stamps
o Will send out form to parents/volunteers and sign up for student volunteers
o Usually get a grant ($500), if so will allocate these funds
Playground & Greening
❖ Butterfly Garden (outdoor classroom)
o Received 4 quotes – have decided on Tom Boyz Landscaping
o Outdoor Classroom idea, 16 pieces of armor stone
o Company donating some trees, plants and perennials
o Production set to start in October
❖ Basketball hoops
o Cost of $1100 to have Engineer deem structure stable and give approval to proceed with installation
o Cost of hoops $6260, approx. 4-5 weeks to complete
o Council discussed the cost vs. benefit of this project, now considering other options, Is there anywhere else to put the hoops? With posts?
o Allison to follow up with the School Board
Milk Program:
❖ Angela volunteered to lead the Milk program

New Business:
❖ No meetings on May 2nd or February 21
❖ PIC (Parent Involvement Committee) Meeting – Sept 24, 2018 @ 6:45, held at the Board Office, 500
Victoria Rd.
❖ Policy 503 – Safe Schools – up for renewal. Board puts it out to the parents to gain feedback.
o Submit online feedback at www.ugdsb.ca/board/policy
❖ Climbing Program
o Planning for February
o Climbing gym to be set up in the gym for one week. Every student would have 2 chances to go.
o Cost is approx. $6000, or $8/student
❖ Recognition: Lisa recognized for taking care of the gardens during the summer months. Thank you Lisa!
