Meeting Date – Monday, September 11, 2017

Present: Jacquie Hulm-Mehagan, Jennifer Li, Lisa Matchett, Natalie Thomas, Sapna Jaqota, Marcy Lillard, John Lillard, Lucy Oates, Lulu Zwingli, Valerie Jameson, Melissa McEachern, Melanie Taylor, Angela Popofski, Josh Richardson, Beth Greenfield, Cherise Johnson, Donna McMillan, and Allison Stoffman

Welcome – Meeting called to order at 6:30 p.m. by Beth

Review and acceptance of past minutes : Motion to accept the minutes of June’s meeting by Mel, seconded by Beth

Election of School Council Executives for 2017-2018
Beth explained the process of School Council elections. She described each of the board member positions and responsibilities as stated in the bylaws. People nominated themselves during the meeting. Beth motioned to accept the nominations and a vote was taken by a show of hands. All were in favour.

The School Council Board for the 2017-2018 school year is as follows:
❖ Co Chairs – Beth Greenfield and Cherise Johnson
❖ Treasurer – Angela Popofski
❖ Secretary – Jacquie Hulm-Mehagan
❖ Committee Chairs:
➢ Fundraising – Melanie Taylor and Jennifer Li

➢ Milk Program – Beth Greenfield

Principal’s Report – Allison Stoffman
School Organization:
● Numbers were sent into the board on Wednesday and we are at 664 students, which is higher than what we had projected in the Spring
● We will need to reorganize primary classes and add an additional primary class. Grades 1 – 3 will be impacted. Parents will be notified and this will happen Wednesday.
● Teachers have done their best to maintain friendships and ease the transition to the new class. Movement will be made in the morning so students can have a fun day to spend with their teacher and classmates

We also have two Laurier TEC candidates who will be here for the year: Mark Perrone and Mikaila Rebellato (Both in J/I )

Upcoming Events and Updates:
1. Lego League
– 1st elementary school in Guelph to take on the challenge
– Program is similar to Skills Canada
– Challenge presented is to solve a problem looking at all aspects of water management, supply, & distribution
– Sponsored by Synnex who purchased the supplies to run the program
– Grades 6-8 participate on two teams; in the coming years, we hope to open it to younger grades

3. Open House on September 21 st from 5:30-7:00pm

Treasurer’s Report
● Milk money from end of June needs to be zeroed out and moved to Playground & Greening Account ($10,967.61)
● $1300 from Special Projects was deducted for the benches in the front hall foyer
● $80.23 revenue from Sweet Temptations at the family picnic added to Community Building account
● Pro Grant Reimbursement of $565 for Kate Jones (Look into this further clarification)
● $45 reimbursement into Community Building from Face Painting owner (due to lack of line manager we pre-paid for at the family picnic)
● $11.30 deducted from Community Building account to Lucy Oates for family picnic supplies

Committee Reports
Fundraising – This Fall 2017
● Big Box Fundraiser – 33 cards for $33.00
❏ Kick Off Assembly presented by the Big Box Card association to get kids excited. We will need to have two due to the school’s size.
❏ Each box sold brings $11 profit to school. Boxes will be sent home, one per Family in the Spring.
❏ Top Sellers who sell 3 or more boxes will be entered to win an ipod. Other prizes include 4 $25 gift cards, as well as the winning class who sells the most will win a pizza party.
❏ Profits from the Big Box Cards sales are earmarked to purchase a new chromebook cart and chromebooks. The money will be placed in special projects account.
● Farm Fresh
❏ Order needs to be placed by October 11th, delivery will be in November. We will receive a specific day 10 days prior to delivery.
❏ The school receives 40% of total sales as profit. It is allocated to Playground & Greening as motioned in June 2017’s meeting.
● QSP Magazine Fundraiser will be sent home mid October, sales close 31st of December for this year’s profits
● Planet Bean coffee fundraiser will be discussed in further detail at October’s meeting
● Spirit Wear will potentially take a new direction. Natalie is going to research the details of having our own online store. Allison will make sure this is allowed, and if it’s a go, we will include a permanent link for Spirit Wear purchases on the school’s website. We will follow up on this at October’s meeting.

Community Building
We would like to continue last year’s goal to have one community building event a month. The tentative schedule that will be solidified at October’s meeting is:

September – Open House, September 21, 5:30-7:00
October – Wake Up The Woods : Coffee on the tarmac

December – Movie Night at Pergola Commons with Food Pantry Donations

February – Education Night and Skating Night
March – No Event, March Break

Old Business

Open House – September 21, 5:30-7:00
Mel looked into Food Trucks, but everyone was already booked. Sweet Temptations truck is booked. We asked for volunteers to sit at a School Council table and share our goals with parents this year, as well as see if anyone else would like to participate, even if they cannot attend every meeting. School Tattoos will be available for students who
stop by the table. Please wear your school council t-shirts if you have one.

Milk Program
Beth is working on obtaining new milk bags this year. She will update us at October’s meeting. Milk delivery begins September 25th, along with other food programs commencing that week.
Tree Watering
Allison will find out if we got invoiced for the watering of the trees over the summer. Since it was so rainy, we don’t think it’s likely.

New Business
John motioned to have Allison investigate the costs of wall mounted basketball hoops on the outside of the building. We will need three separate quotes.
Cherise motioned to book Food Trucks, Balloon Twister, and face painters for the Family Picnic May 3rd. We ran into trouble last year not finding anyone available for the date we wanted. Ange seconded, all were in favour.
