Attendance Guidelines

NEW We now have an attendance email. GCVI.attendance@ugdsb.on.ca.

To report an absence, please email attendance at GCVI.attendance@ugdsb.on.ca or call the attendance line at extension 500

  • Frequency: Leave only ONE message per day. For example, if your child is not feeling well but may return later, they will be excused for the day and signing in will remove their excusals.

  • Notify in Advance: You are welcome to call/email ahead of time for any future scheduled absences.

  • Verification: All messages must come from a parent or guardian using a phone number/email currently on file with the school.

  • Exclusions: Please do NOT call the attendance line for school sports and field trip excusals. These are handled internally by the school staff running the activity.

How to Leave a Message

As we receive a large volume of calls daily, please keep your voicemail brief, clear, and loud enough to hear. Use the following formats:

  • For unexpected absences:

"First Name, Last Name, All Day, Illness" OR "First Name, Last Name, Period 2, Appointment"

  • For planned future absences:

"First Name, Last Name, Date of Absence, Period(s) [X] or All Day, Reason"

Late Arrivals & Early Sign-Outs

  • If your child arrives late: Leave a message with reason for late and have your child sign in at the main office immediately upon their arrival.

  • If your child needs to leave early: To minimize classroom disruptions, please send your student with a physical note to sign out from their class.

Attendance Corrections

If your child was marked absent (A) in error, please have your student handle the correction directly at school:

  • Classroom Error: Have the student speak directly to the teacher of that specific class.

  • School Event Error: If they were marked absent when they should have been excused for a school sport or field trip, have the student speak directly to the teacher or coach in charge of that activity.
