Police Record Check

Ontario Regulation 521/01 and Board Policy 420, Recruitment and Selection require all new board

employees to provide one of the following as dependent on your role to provide a safe and secure working and learning environment for students and employees.

  • Vulnerable Sector Check (VSC); OR

  • Criminal Record & Judicial Matters Check (CRJMC)

It is policy of the Upper Grand District School Board (UGDSB), as required under the Education Act

New Employees to the Upper Grand District School Board

As a condition of employment, successful external candidates will be required to provide a police record check, as determined by the Board, prior to the commencement of employment.

The required check must be dated within six (6) months of the start date of employment.  Any expense incurred in obtaining this documentation will be the sole responsibility of the successful candidate.

There are three levels of police record checks:

  • Criminal Record Check

  • Criminal Record and Judicial Matters Check

  • Vulnerable Sector Check

The successful candidate will be advised which type of police record check is required. In most cases, a Vulnerable Sector Check (VSC) will be required; however, for certain positions, a Criminal Record and Judicial Matters Check (CRJMC) may be requested.

If the police service will not process the required check (VSC or CRJMC) for the position the candidate was successful for, that candidate must advise their People, Leadership and Culture (Human Resources) representative for direction on the police record check to obtain.

Where to Request a Vulnerable Sector Check

The successful candidate must request and obtain the required police record check through the local police services detachment in the area in which they reside.  It is advised that the successful candidate request the needed police record check from their local police department as soon as possible as processing times vary.

Current and Returning Employees

At the beginning of each school year, employees currently employed by the UGDSB are required to complete an Annual Offence Declaration (AOD). 

In addition to the Annual Offence Declaration requirement, employees will be required to provide an updated Vulnerable Sector Check (VSC) or Criminal Record and Judicial Matters Check (CRJMC), as applicable to their position, every five (5) years while employed by the Board.

Employees who experience a break in service will be required to submit a new Vulnerable Sector Check (VSC) or Criminal Record and Judicial Matters Check (CRJMC), as applicable to their position.

Employees will be notified when a new Police Record Check is required. Any expense incurred in obtaining this documentation will be the responsibility of the employee.
